Apartments for rent

What we collect: what you type into our application form — names, phone numbers and email addresses; who will live here (number of people, pets, smoking, vehicles — whichever the form asks); when you want to move in and for how long; where you live now and your landlord's contact details; your income and employer; two references; your typed signatures (each adult on the application signs). When you submit, we also record the date and time and the IP address of your internet connection. We never ask for your SIN, bank details, date of birth or ID photos.

Why: to decide whether to rent the apartment to you, to contact you about it, and to check the references and contacts you give us (you agree to this when you sign). The IP address is used only to prevent abuse (spam and repeated submissions) and is deleted after 30 days.

Who can see it: people authorized by FatCat Properties to use its rental management system. It is stored in an encrypted system and is not sold. Service providers that handle it for us: Cloudflare (delivers this website's traffic and runs the “I am human” check, Turnstile) and Google (stores our encrypted backups). Our service providers (Cloudflare and, for encrypted backups, Google) may store or process your information outside Canada, mainly in the United States, where courts, police and security agencies may be able to access it.

On this device: your answers are saved in this browser as you type, so you don't lose them. They are erased when you submit, when you choose “Start over”, or after 7 days (checked every time you open one of our application pages).

How long we keep it: an application that is not approved — new, under review, declined or withdrawn — is deleted 6 months after its status last changed. If you become our tenant, your application stays with your tenancy file while you rent; 6 months after your lease ends, your answers (income, employer, references, landlords, addresses and any other answers) are deleted, and we keep only your name and signature with your tenant record. Viewing bookings are deleted 30 days after the viewing (or 30 days after a booking is cancelled).

Backups: encrypted backups are kept up to 14 days (plus up to 30 days in backup trash), so deleted information is fully gone within about 45 days.

Your rights: you can ask to see or correct the information we hold about you, or ask us a question about it. Contact our privacy contact, Jeremy, FatCat Properties (rentals@fatcat.properties), or call (506) 808-0869. We answer access requests within 30 days.

Complaints: if you are not satisfied with our answer, you can complain to the Office of the Privacy Commissioner of Canada (priv.gc.ca, 1-800-282-1376).
